Privacy- and Cookie Statement – ALLSAFE Self Storage

ALLSAFE respects the privacy of visitors to the domain www.allsafe.nl (as well as all our other online channels, including websites, webshops, apps, and emails) and ensures that the personal information you provide to us, for instance via contact forms, is treated confidentially. Personal data is processed in accordance with the requirements of the General Data Protection Regulation (GDPR).

Purposes of Data Processing

Your personal data is processed by us for entering into and executing agreements regarding our services, and managing the resulting relationships. This also includes maintaining contact with (potential) customers, following up on requests and quotes, and conducting activities aimed at expanding our customer base. In this context, personal data may be stored and managed in our Customer Relationship Management (CRM) system.

We only share personal data with third parties if this is necessary for the execution of our services, to comply with statutory obligations, or if we have obtained your explicit consent. Depending on the nature of the service, personal data may be shared with, for example, IT service providers, hosting partners, CRM providers, payment processors, accountants, debt collection agencies, insurers, and competent government authorities. We enter into data processing agreements with parties that process personal data on our behalf, establishing arrangements to ensure the careful, secure, and confidential processing of your data. We do not provide personal data to third parties for their own commercial purposes unless we have obtained your consent or are legally required to do so.

In addition, we process personal data of visitors who submit a form via our website. This concerns your name, email address, and phone number. We use this data to assess the request, contact you regarding the requested quote, and provide an appropriate response to your inquiry. The legal basis for this processing is taking steps at the request of the data subject prior to entering into a contract, as well as our legitimate interest in handling inquiries and improving our services.

If you become a customer, we retain your personal data for the duration of the agreement and thereafter to the extent necessary for our business operations, handling potential disputes, or complying with legal obligations. In principle, we retain name, email, and phone details for up to five (5) years after the termination of the agreement. Data that forms part of our financial administration, such as address details, bank account numbers, and invoice and payment details, is retained for seven (7) years after the end of the financial year to which it relates, in accordance with tax retention obligations.

Data provided for identification purposes at the start of the rental relationship, such as a copy or details of an identity document, is retained for a maximum of five (5) years after the end of the agreement, unless a longer retention period is legally required. Data such as gender, age, or date of birth is kept no longer than necessary for the purposes for which it was collected and will be deleted or anonymized at the latest five (5) years after the termination of the agreement.

Upon expiry of the applicable retention periods, personal data will be deleted or anonymized, unless we are required by law or regulation to retain it for longer. We implement appropriate technical and organizational measures to protect your personal data against loss, unauthorized access, or any form of unlawful processing.

What data do we collect from you?

When you request information, for example about renting a storage unit at ALLSAFE Mini Opslag, fill out a contact form, or otherwise provide us with your contact details, we collect the personal data necessary to contact you (by phone or email). We collect and process your name, email address, and phone number. By filling out and submitting a contact form or information request, you acknowledge that ALLSAFE may contact you via telephone, email, or other appropriate means of communication to handle your request, provide additional information, issue a quote, or follow up on your inquiry. We only process the personal data necessary for these purposes and do not retain it longer than needed to handle your request, unless a statutory retention period applies or a further customer relationship is established.

When drawing up the (rental) agreement for the storage unit of your choice or for any of ALLSAFE’s other services, we collect the data necessary for this purpose, such as your date of birth and payment details. Our online channels use different types of cookies, which you can enable or disable according to your preferences.

We use CCTV (video surveillance), control devices, and security systems at our locations. If you visit one of our facilities, we may collect specific personal data generated by these devices and systems for security purposes.

Your rights regarding your personal data

You have the right to access the personal data we process about you. In addition, depending on the situation, you have the right to have your personal data corrected, deleted, or restricted. You can also object to certain processing activities of your personal data.

When you submit a request, we register it internally. To verify your identity, we may use information already known to us, such as your customer number, address, email address, or login details. If this is insufficient to establish your identity, we may request additional information. In exceptional cases, we may request a copy of an identity document, in which case your citizen service number (BSN) and photo should be masked as much as possible.

Upon a request for access, you will receive information about the personal data we process, the purposes of the processing, the recipients of this data, the retention periods applied, your privacy rights, and the source of the data (if not obtained directly from you).

We will respond within one month of receiving your request. If a request is complex, this period may be extended once by a maximum of two months. In that case, we will inform you of the extension in a timely manner.

If you believe that certain personal data is no longer necessary or is being processed incorrectly, you can also submit a request for the deletion of your personal data. We assess such requests in accordance with applicable laws and regulations.

If you believe that we are not processing your personal data carefully or that we are not handling your privacy rights correctly, we kindly request that you contact us first so that we can find a solution together.

In addition, you have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens), the supervisory authority for privacy legislation in the Netherlands. Click Behavior and Visit Data

To gain insights into the use of our online channels and the performance of online marketing campaigns, we use web analytics software such as Google Analytics. This software collects anonymized data about your visit, such as the source of your visit (e.g., a campaign or referring page), pages viewed, and search terms used.

These data cannot be traced back to you personally, except when you identify yourself via one of our online forms. In those cases, your browsing behavior may be linked to the submitted information. We anonymize data as much as possible, including anonymizing IP addresses. Information is transmitted to and stored by Google on servers in the United States and encrypted during transfer.

Remarketing

We use remarketing cookies. These remember which information you viewed on our online channels, allowing us to show relevant, targeted advertisements. These lists are not linked to personally identifiable profiles.

Social Media Buttons

Our online channels include buttons to share content on social networks such as Facebook, Twitter, Pinterest, Google Plus, and LinkedIn. These buttons are provided by the social networks themselves and may place cookies if accepted. Refer to the privacy statements of each platform to understand how they handle personal data.

Use of Cookies

A cookie is a small file sent from our online channels and stored by your browser on your device. Cookies help our sites function properly and monitor visits. ALLSAFE Self Storage uses this data only in aggregated form, which cannot be traced back to an individual.

You can disable cookies via your browser; note that some settings or logins may need to be restored after doing so. Cookies do not store email addresses or phone numbers, nor do they create personally identifiable profiles.

At first visit, you are notified about cookies through an information banner. By clicking “accept,” you consent to the use of statistical, preference, and necessary cookies.

Your Rights

If you have a relationship with ALLSAFE Self Storage, you may request access, correction, deletion, or limitation of your personal data. You may also request data portability or withdraw consent at any time, without affecting the lawfulness of processing based on prior consent.

You have the right to object to processing of your personal data and to file a complaint with a supervisory authority. You may unsubscribe from all direct marketing messages sent with your consent.
